Rooms at special conference rates are being held in hotels of different categories close to the venue (Prague Congress Centre) or within Prague city centre. Rooms will be allocated on a first come, first served basis.

Participants are recommended to reserve the accommodation by 5 June 2008.

After this deadline requests will be accepted, however, hotels rooms are subject to availability and cannot be guaranteed; when making the reservation, please also indicate an alternative hotel/second choice hotel in case your preferred one is fully booked.

No shuttle service will be provided by the conference from the airport to the hotels or from the hotels to the Prague Congress Centre.

Deposit of 1 night is requested to confirm your booking.

Early bird rate

Available at the Corinthia Towers and Corinthia Panorama hotels.
Reservation including 1 night deposit must be recieved until 30 June 2008.

Cancellation/Change of reservation

Cancellations or changes must be notified in writing (email or fax) to CZECH-IN. Cancellations or changes made by phone cannot be accepted.

Please do not contact the hotels directly as reservations are held by CZECH-IN.

In case of later arrival other than reserved please inform CZECH-IN as well in order to guarantee the room.

Cancellation will be charged according to the cancellation conditions below:

• for hotel reservations cancelled before 5 June 2008 full deposit will be refunded less EUR 20,-
• after 5 June 2008 deposit of 1 night will NOT be refunded
• after 5 August 2008 all nights as reserved will be charged and no refund will be made
  • CZECH-IN holds the rights to charge your credit card for the all nights booked OR not to refund the full pre-payment

In case of a no-show or later arrival or earlier departure other than reserved all nights as reserved will be charged.

Reimbursement will be processed after the conference.

Payment conditions

• 1 night deposit will be required to guarantee the booking (not-refundable after 5 June 2008). All bookings must be guaranteed by a valid credit card (VISA, EC/MC, AMEX cards are accepted). Expiration of the card must exceed September 2008. CZECH-IN holds the rights to pass your credit card details to the respective hotel. Final bill (rest of nights and extras) must be settled directly with the hotel upon departure.

OR

• Full pre-payment can be made by a credit card, a bank transfer or a check payable to the account of CZECH-IN (1 night is not refundable after 5 June 2008 and the full prepayment will be charged in case of cancellation after 5 August 2008). Bank transfer and check will be accepted until 10 August 2008 only. Please forward a copy of the transfer stating the participant’s name. A full payment free of any bank charges must be received by CZECH-IN. All extras must be settled directly with the hotel upon departure.

Credit Card Payment
With reference to the worldwide general terms please be aware that your credit card will be charged in currency valid in country of the origin, i.e. Czech Crowns (CZK) and hereinafter converted back to the currency of your account which may result in slightly higher total charge than stated in EUR .

Confirmation of reservation/hotel voucher and final bill

After completing the hotel booking, participant will receive a system notification that reservation request was received.

Confirmation of the hotel booking (a hotel voucher) will be issued only after the deposit/prepayment is received and will be sent to the participant by email together with an invoice. Hotel voucher should be presented to the hotel reception during check-in.

Final bill will be issued by CZECH-IN (for 1 night deposit and full prepayment) and the respective hotel (for the rest of nights and extras). Most of the hotels will issue the bill in local currency (Czech Crowns) according to the daily exchange rate stated by the Czech National Bank.

Check-in/Check-out

Check-in varies from noon until 2 pm. Early check-in can be requested, however cannot be guaranteed; the room is subject to the room availability on the day of arrival; Check-out is generally at noon (in some hotels as of 10 am). Late check-out is also subject to the room availability and some hotels may charge a day rate.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Workshop be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the non-appearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
